Setting Up an IV Station in Hotel Meeting Space

You have a room block, a group that wants an IV hydration station, and a venue whose job is to make sure an outside medical vendor does not become the hotel's problem. What goes on the banquet event order

If you are building the BEO, the lines that matter to us are the room and floor, our vendor arrival time, the service window, the expected guest count, and who at the property we report to on the day. List us as an outside vendor with a load-in roughly an hour ahead of the first appointment and a strike time after the last. From the property we usually ask for one six-foot table with a linen, a small waste bin, and a sink or restroom nearby for hand hygiene. Power is useful but not essential. We do not need AV, F&B service or a kitchen, and we are not asking for a banquet captain. If the room is also being used for a general session before or after us, put the changeover on the BEO explicitly. IV appointments do not compress well once they are running, and a room that has to be flipped at a fixed minute needs to be built into the window from the start.

Seating and layout decide how the station feels

A banquet chair is a poor place to sit for 40 minutes with a line in your arm. If the property can supply lounge chairs, armchairs, or anything with real arm support, that single substitution improves the setup more than any amount of extra square footage. Six to eight comfortable chairs handle most room blocks; a larger field needs more chairs and more staff. Give guests separation from the door. A pipe-and-drape run, a room divider, or simply a breakout room next door means intake happens out of earshot of people walking to the coffee break. Guests answer medical history questions during intake and they should not be doing that in front of colleagues. Beyond that we want reasonable light so the PA can see a vein, a clear path between chairs, and a corner for our supply cases. Poles, supplies and everything clinical arrive with us — nothing on this list has to be sourced by your team.

Load-in, sharps, and leaving the room as we found it

Everything clinical arrives with us and leaves with us. Sharps go into our own approved containers, which go back out the door with our staff at strike. Nothing clinical goes into a hotel bin, a housekeeping cart, or a public trash can, and your housekeeping team is never asked to handle anything from the station. That is usually the first question a director of operations asks, and it is worth having in the file in writing before the date. For load-in, a service entrance and a freight elevator make everything easier, and if the property badges outside vendors through security we will meet that process. We travel with cases and a cart, not a truck of equipment. Spills are uncommon but we plan for them. Where the floor is carpeted we use protective covering under the chairs, and we will tell you in advance if we want anything laid down. When we strike, the room goes back exactly as we found it.

Licensure, screening and what your risk file needs

Every infusion is administered by a California-licensed physician assistant working under physician supervision. Nobody untrained is starting lines at your property, and no part of the clinical decision is delegated to hotel staff. Each guest completes their own intake and consent with the PA before anything is started, and the PA can decline to treat any guest. That decision is medical and is not open to the host, the sponsor or the venue. Guest medical information stays with us — we do not ask the property to hold, store or handle it, and we do not report to the organiser who was treated or what they disclosed. Where the station fits in a meeting agenda

Three placements work well at a Monterey property. First, an early window before the general session: guests come down before an 8:00 start and the room is clear when the meeting begins. Second, a station running through the afternoon in a breakout room with guests slotted around sessions — friendliest to the agenda, but it needs the room held all day. Third, an evening hospitality suite, which suits groups arriving off late flights. Budget realistic times. A Methylcobalamin B-12 Energy Boost is about 10 minutes at $35.
